Understand organizations, members, and access
Learn how organization structure, member status, roles, and personal settings control access.
Laney manages member access inside a parent and branch organization structure. A user can switch within the allowed scope. The selected organization controls the current operating data.
Business value
Team access preserves customer data boundaries as the organization grows. Task-based roles give new members only the features they need. Organization and branch scope support both head office reporting and local operations.
| Operating goal | Team role | Measure |
|---|---|---|
| Maintain least privilege | Allow only required features and actions. | Full-access users, exceptions, and access questions |
| Separate branch operations | Divide parent and branch data scope. | Cross-branch attempts and organization selection errors |
| Standardize access changes | Manage invitations, activation, role changes, and suspension. | Invitation completion time and unused active accounts |
| Clarify responsibility | Connect one role and organization scope to each member. | Unassigned records and role changes |
Examples
Example: Franchise head office and branches. Head office administrators compare campaigns and branch results. Branch agents handle only their customers, conversations, and reservations. Verify that another branch's menus and records remain hidden.
Example: A temporary external operator. Assign a role with only required view and edit actions. Suspend the member at contract end. Transfer assigned records to an internal member. Review unused active accounts and full-access users regularly.
Organizations and branches
An organization can contain branches. A member with parent access can switch to allowed child organizations. A branch-only member cannot access another branch's data.
Settings such as forms, availability, channels, and automations belong to the selected organization. Check the organization switcher before changing a setting.
Member statuses
| Status | Meaning |
|---|---|
| Invited | Laney sent the invitation, but account setup is incomplete. |
| Active | The member can sign in and use permitted features. |
| Suspended | The account remains, but organization access is stopped. |
A member stores a name, email, role, and avatar. A new member opens the email invitation and sets a password with at least eight characters.
Roles and permissions
A role contains permissions for features and actions. Each member has one role. A permission can grant every feature. Use a role with only the required tasks as your default.
Permissions control sidebar menus and record actions. They affect viewing, creation, editing, and deletion. After changing a role, test the organization scope and main tasks with that member account.
Personal accounts
Members use sign-in, password reset, and invitation confirmation screens. The user menu controls theme, display language, and sign-out. Personal display settings do not change the public website.
