Connect Google Calendar

Sync one organization's reservations to its Google primary calendar and verify the result.

Connect one Google Calendar account for each organization. Staff can then review reservations in their familiar calendar. Laney remains the source, and copies selected reservations to the connected Google primary calendar.

Example: A clinic uses one operations calendar for each branch. Connect different Google accounts to the Gangnam and Busan branches. Each branch sees only its reservations. After testing, review sync delay, missing events, duplicates, and events in the wrong branch.

Before you begin

  • Select the organization or branch that will use the calendar.
  • Prepare sign-in access to a dedicated Google account for that organization.
  • Decide which reservation statuses and date range to include.
  • Review which customer names, notes, and custom fields can appear outside Laney.

Use a different Google primary calendar for each organization

You cannot connect one Google primary calendar to multiple organizations. A different Google account for each organization keeps reservations and connection permissions separate.

Add a Google Calendar account

Open Accounts in the dashboard. Select Add, then set the platform to Google Calendar. Confirm the current organization and enter a clear account name. Create the account.

Select reservations for sync

Review sourceQuery before connection. Its default includes Pending, Confirmed, Completed, No-show, and Cancelled reservations. Keep only the statuses and date range that operations need.

Do not add limit or offset to sourceQuery. Calendar comparison requires the complete reservation set. See Automation query reference for Query syntax.

Choose how customer information appears

The defaults mask the customer name, make events private, and omit notes. If staff need more detail, review Google Calendar sync reference. Include only necessary fields.

Connect the Google account

Open the saved account and select Connect. Sign in with the intended Google account. Approve event editing and calendar-list access. Laney does not request access to Gmail, Drive, or advertising.

Confirm the connection status

Return to Laney and confirm that the account has Connected status. The connection records the Google account's primary calendar and time zone.

Test the complete reservation flow

Create a synthetic reservation that cannot be mistaken for a customer booking. After the next five-minute sync finishes, check its start, end, and title in Google Calendar. Change the time and check again. Finally, cancel the reservation and confirm the configured cancellation result.

Check the result

  • The Google Calendar account has Connected status.
  • The test reservation appears only in the selected organization's Google primary calendar.
  • Time and detail changes reach the same event during the next sync cycle.
  • A cancellation or Query exit applies the configured cancellation policy.
  • Reservations and calendars from other organizations do not appear.

If connection does not complete

If the status does not become Connected, check whether the Google consent flow was cancelled. Also check whether another organization already uses that Google primary calendar. If access was revoked or the Google account must change, select Reconnect from the account detail screen.

A direct edit in Google Calendar returns to the Laney value during the next sync. Change the reservation in the Laney reservation calendar instead.
