Manage reservations on the calendar

Create, move, resize, and update reservations on the calendar.

Scenario and success criteria

Example: A clinic moves three afternoon reservations after a staff change. Use the week view to review affected reservations and remaining capacity. Move each reservation to a time accepted by the customer. Update its note and status. If a warning appears, check business hours, closures, and concurrent capacity.

After the change, review conflicts, second changes requested from customers, no-shows, and cancellations. Do not select a time only because the calendar looks empty. Use the actual availability rules.

Before you start

  • Select the organization or branch for the reservations.
  • Confirm that availability matches current operating hours.

Select the calendar range

Open Reservations, then select day, week, or month. Select Today, or use the previous and next buttons. You can also select a date from the small calendar.

Select a time for a new reservation

Select one time or drag across an open range. Enter the customer, start time, end time, status, and required notes.

Review warnings and capacity

When a business hour or block warning appears, confirm that your team can handle the time. Capacity limits block saving. Select another time or adjust an existing reservation.

Move or resize a reservation

Drag an event to move it. Drag the event end to change its end time. Review both times in the detail pane after each change.

Record the visit result

Select the reservation to open its detail pane. Select Completed, Cancelled, or No-show based on the result. Add any required operating notes.

Check the result

  • The reservation appears on the correct date and time.
  • The start and end times create the intended duration.
  • Reservations at one time do not exceed capacity.
  • The status matches the customer result.
