Understand reservation operations
Learn how reservation statuses, calendars, availability, and payments work together.
A reservation connects a customer with a start and end time. It also stores notes and status. You can create, move, and resize reservations on the calendar.
Business value
Reservations turn customer intent and operating capacity into one schedule. Availability and calendar views offer only times the organization can serve. Operators can also see empty capacity and overload in the same place.
| Operating goal | Reservation role | Measure |
|---|---|---|
| Capture reservation demand | Offer valid times consistently. | Offers, confirmed reservations, and conversion |
| Protect capacity | Limit concurrent reservations and gaps. | Time-slot use and blocked capacity attempts |
| Record visit results | Separate pending, confirmed, completed, cancelled, and no-show records. | Cancellation, no-show, and completed reservations |
Examples
Example: A clinic with two consultation rooms. Set concurrent capacity to two. The first two customers can receive the same time. A third customer receives the next valid time. Review time-slot use and blocked requests before changing capacity.
Example: A consultancy that reviews each request. Save a request as Pending first. Confirm it after reviewing customer needs and materials. Record Completed or No-show after the visit. Use these results for later policy and automation decisions.
Reservation statuses
| Status | Meaning |
|---|---|
| Pending | The request exists but is not confirmed. |
| Confirmed | The customer and operator accepted the time. |
| Completed | The scheduled visit or service is complete. |
| Cancelled | The reservation will not continue. |
| No-show | The customer did not attend the confirmed time. |
Status changes can affect later automations and customer analysis. Confirm the operating result before selecting Completed, Cancelled, or No-show.
Calendar and availability
The calendar supports day, week, and month views. A background marks times inside business hours. An operator can save some reservations after reviewing a time warning. Capacity limits always apply.
Customer forms, public booking pages, and AI booking apply every availability rule. A proposed time must satisfy business hours, blocks, capacity, and gaps.
Cancelling several reservations at one time
AI does not cancel every reservation when one customer has several at the same time. The customer must select one, some, or all reservations for cancellation.
Reservations and payments are separate
A reservation manages time and attendance. A payment manages a product, amount, and payment status. You can connect a payment to a reservation. Changing one status does not set the other status. Read Products, promotions, and payments for details.
